Duties: Coordinates the unit’s operations in accordance with the Director’s guidelines, overseeing the Start Administration Point (Secretariat), the Administrative Research Support Section, and administrative and HR processes. Shapes and monitors the unit’s budget, manages administrative workflows, and ensures effective support for research activities. Manages the unit’s flagship projects. Contributes to the strategy for research commercialization, facilitates internal communication, and supervises compliance with university regulations and policies.

The Secretariat supports the daily operations of the unit. Its responsibilities include:
Communications and Correspondence Management: Handling internal and external correspondence, preparing employee communications, and updating website content.
Employee and HR support: Providing guidance on obtaining various certificates, assisting with the employee portal (leave requests, GDPR applications, etc.), and directing staff to the appropriate departments as needed.
Domestic travel management for staff: Registering employee travel authorizations. The Secretariat also assists with expense settlements, which must be submitted within two weeks after returning.
Note: All domestic business trips must be reported to the Secretariat before they take place. The travel authorization form is available here: LINK.
Organization of visits by international guests: Providing support with seating arrangements, correspondence, and logistics (e.g., transport, accommodation).
Office supplies procurement: Requests for office materials (paper, pens, folders, etc.) should be submitted to the Secretariat. Purchases are carried out in accordance with internal procedures.

The section focuses on research project administration and international travel. Its responsibilities include:
Project management: Managing project documentation (plans, schedules, reports, correspondence), handling accounting documents, including ensuring that project costs comply with the regulations of funding institutions; preparing financial reports; monitoring project performance indicators; administering contracts and systems of funding institutions; organizing recruitment for project positions and preparing recruitment records; coordinating purchases of laboratory equipment and research infrastructure, as well as services and materials.
Support for fellows and contractors: Preparing and registering contracts, receiving implementation documents related to the execution of these contracts.
International travel management for staff: Registering travel requests, verifying travel cost estimates, and collecting proof of participation (e.g. certificates, presentations, poster projects).
Note: Before planning international travel, outgoing staff members are required to contact the section to obtain confirmation of funding availability. After the trip submit the documents for verification to the section. Afterward send the documents to the Research Office. Settlement requests must be submitted within two weeks. Administrative support in preparing project applications: Assisting in the preparation of required documents such as budgets, schedules, summaries, and formal descriptions related to ICTQT and UG activities.
